Safeguarding is central to how Rotate is built, not an afterthought. Most of the people in Rotate are children and young people, so the platform is designed so that their information is handled carefully and seen only by the right people. The specific technical controls behind this are set out on our Data protection & GDPR page.
How Rotate supports safeguarding
- Role-based access, enforced at the database: coaches see only the players in their own workspace, and squad-selection decisions and coach-private notes are never visible to players or parents.
- Coach-approved parent links: a parent is connected to a child only after a coach approves the link.
- Supervised messaging only: every direct message involves a coach. There are no unsupervised private channels between children, or between an adult and a child.
- Controlled visibility: players and parents see only what the coach chooses to share, including assessments and development ratings.
- Versioned consents: consents (photo and video, data processing, medical, communications) are recorded and dated.
- Erasure and retention: a child's record can be permanently deleted on request, and removed players are automatically purged after a set retention period rather than kept forever.
- UK GDPR throughout: data is minimised, access is controlled, players' data is never used for advertising, and their names are never sent to AI features.
Your responsibilities as a coach or club
- Follow your own safeguarding policy and your governing body's requirements.
- Obtain the consents needed before entering a young person's information.
- Keep notes professional, relevant and appropriate.
- Make sure only authorised coaches have access to your workspace.
Raising a concern
